Employee Onboarding
LinkrHire Managed Service Terms
Last updated: 27 October 2026 · Version 1
1. These terms
These terms are an agreement between Fei Lan, trading as LinkrHire (“LinkrHire”, “we”, “us”), and the business named on your private page (“you”).
You accept these terms by ticking the box to agree to them when you first open your private page. The person who ticks the box confirms that they are authorised to accept these terms for the business. We keep a record of the date and time, the version of these terms and the email address used.
The service is for businesses only. You confirm that you are acquiring it for the purposes of a business.
2. What the service is
We set up Employee Onboarding for your business and run each new employee’s onboarding on your behalf.
You:
- give us your company details, logo, signature and the contracts and forms you use, on your private page;
- create a link for each new employee on your private page and send it to them;
- answer our questions about your employees when we ask.
We:
- set up your contracts and forms in the system from the files you give us;
- follow up with your employees, for example by WhatsApp, so they complete their onboarding;
- carry out the checks described in section 3, and send an onboarding back to the employee when something is missing or inconsistent;
- complete the final review, and make each employee’s finished record (the “Pack”) available on your private page. We email you when it is ready.
3. What we check, and what we don’t
We check that the information and documents each employee provides are complete and consistent with each other. For example, we check that the name and date of birth match across the passport, visa and tax forms, and that required details have been provided.
We do not:
- verify that documents are genuine. We work from copies, we do not inspect original documents, and we cannot detect a well-made forgery;
- decide whether you should employ someone, or whether they are entitled to work in New Zealand. These decisions are yours;
- give legal, immigration, tax or employment advice.
If we notice something that may affect whether you can employ someone, for example a visa that names a different employer, we will tell you by email or message and act on your instructions.
Our checks are recorded in the Pack as “checked by LinkrHire, on behalf of” your business. Passport and visa details are read by an AI service and may contain mistakes.
4. Your responsibilities
- You remain the employer. You remain responsible under immigration, employment, tax and privacy law, including confirming each employee’s entitlement to work in New Zealand.
- Only ask employees for information you are allowed to collect.
- Make sure the contracts and forms you give us are correct and lawful. We use them as you provide them. We do not review or change their legal content.
- Keep your company details, including your legal name, email address and the person who signs, up to date on your private page.
- Download and keep each employee’s Pack yourself. New Zealand law requires employers to keep employment and tax records for at least 7 years. We delete personal details on the schedule in section 9.
5. Your private page
- Your private page opens only with your private link and a 6-digit code sent to your email address. Keep your private link and your email account secure.
- Anything done through your private page is treated as done by you.
- Tell us straight away at support@linkrhire.com if you think someone else has your private link or access to your email. We will replace your private link, which signs out every device using the old one.
6. Your signature
- You authorise us to place the signature you draw on your private page, together with the signer’s name and job title, on the employment documents and forms produced through the service for each employee you create a link for.
- We use your signature only for documents for your employees in this service.
- You confirm that the signer is authorised to sign employment documents for your business.
- You can replace your signature on your private page at any time. Documents produced after that use the new signature.
- You can withdraw this authority by telling us in writing. We will then stop using your signature for new onboardings. Documents already produced are not changed.
7. Fees
- You buy Onboarding Credits in advance through Stripe. Credits are sold in packs of 5, so you buy at least 5 at a time. Prices are shown before you pay, and Stripe emails you a receipt.
- 1 credit covers our onboarding review of 1 employee. Your first 3 credits are free and do not expire.
- Each purchase can be used for 12 months from the purchase date. Credits not used by then expire.
- When you add a new employee, 1 credit is set aside for them. The credit is used when we complete the review and the employee’s complete onboarding PDF (the Pack) is ready. If the onboarding is cancelled before then — by you, by us on your instructions, or automatically under section 9 — the credit goes back to your available credits (if it hasn’t expired).
- We may change prices for future purchases by giving you at least 7 days’ notice by email. Credits you have already bought are not affected.
- No refunds. Purchases are not refundable, except where we stop providing the service, where the law requires a refund, or in special cases we agree with you in writing.
8. How we handle your employees’ information
We collect and hold your employees’ information on your behalf, as your agent, and use it only to provide the service to you. We:
- allow only people working for LinkrHire, who are bound by confidentiality, to see it, and only to provide the service;
- use only the service providers listed in our Privacy Policy. Some of them store or process information outside New Zealand;
- keep it secure;
- tell you without undue delay if we become aware of a privacy breach affecting your employees, and work with you on any notification required under the Privacy Act 2020;
- help you respond if an employee asks to see or correct their information;
- delete it on the schedule in section 9.
9. How long we keep information
| Situation | When personal details are deleted |
| Onboarding completed | 12 months after the final review, or after a later update to the Pack (late tax forms confirmed, or a bank account added) |
| Link voided | 30 days after voiding |
| Link waiting on the employee with no activity by anyone for 30 days | The link closes and details are deleted within hours |
| Onboarding never completed | 12 months after the link was created |
Before a 12-month deletion, we email you 30 days and 7 days ahead, with a copy to LinkrHire. If we cannot reach you by email, the record is still deleted, at most 14 days after its date. Once deleted, it cannot be recovered or downloaded. We keep only the employee’s name, dates, status, the employment terms entered and the Pack’s reference code.
10. Availability and changes to the service
We aim to keep the service available, but we do not promise that it will always be uninterrupted or error-free. We may improve or change features. If we decide to stop providing the service, we will give you reasonable notice so you can download your Packs, and refund the credits you have not used.
11. Liability
- We are not responsible for decisions you make, including about an employee’s identity or entitlement to work.
- We are not responsible for documents provided by your employees that turn out not to be genuine, or for the content of the contracts and forms you give us.
- We are not liable for indirect losses, such as lost profits or business interruption.
- Our total liability to you is limited to the fees you paid us for the service in the 12 months before the claim.
- As the service is supplied and acquired in trade, the Consumer Guarantees Act 1993 does not apply. To the extent the law allows, the parties agree that sections 9, 12A, 13 and 14(1) of the Fair Trading Act 1986 do not apply, and that it is fair and reasonable for the parties to be bound by this clause.
- Nothing in these terms limits rights you have under law that cannot be excluded.
12. Ending the service
- You or we may end the service at any time by email.
- We finish the onboardings already in progress, unless you ask us to void them.
- After the service ends, your private page stays open so you can download your Packs, until the information is deleted on the schedule in section 9. You can ask us in writing to delete it earlier.
- If you end the service, credits you have bought are not refunded, except as set out in section 7. If we end the service without you breaking these terms, we refund the credits you have not used.
- We may suspend or end the service straight away if you break these terms or put the service or other people’s information at risk.
13. Changes to these terms
We may update these terms. We will post the new version on this page with its date and tell you by email before a significant change takes effect. Continuing to use the service after that means you accept the new terms.
14. General
- These terms, our Privacy Policy and any price we show you before you pay are the whole agreement between us about the service.
- These terms are governed by New Zealand law, and New Zealand courts have jurisdiction.
